    The Facilities Coordinator is charged with working closely with the other facilities team member to ensure that the day-to-day policies, procedures, and programs are followed. The Facilities Coordinator assures a well-managed, well-maintained Facility, while increasing the value of the Facility being managed. The position reports to the Facility Director and works with little supervision. Interfaces with building occupants on a daily basis.

    Duties & Responsibilities

    • Assist with the day-to-day operational management of the Facility to assure a high standard of quality
    • Responsible for all incoming and outgoing mail and shipping.
    • Cross department training and knowledge required.
    • Responsible for backing up fellow team members.
    • Covering the receptionist for lunch and breaks.
    • Basic maintenance.
    • Basic understanding of HVAC systems, UPS, generator, fire suppression and other building functions.
    • Moves, adds and changes.
    • Basic furniture component installations such as keyboard trays, monitor arms etc.
    • Conduct Management by Walking Around (MBWA). This is key to success! The Facilities Coordinator needs to be proactive in the day to day operation and maintenance of the facility.
    • Assist the Manager in making periodic, unannounced, visits to the facility to ensure that all procedures are working properly. By visiting the properties unannounced on weekends, nights, and early mornings, the Facilities Coordinator will be able to see work in progress…Security, Cleaning Company, Construction, etc.
    • Assist with the supervision of all maintenance programs for the interior and exterior condition of the facilities.
    • Place and follow up on all building work orders.
    • Ordering and stocking of all office and breakroom supplies.
    • Manage projects as needed.
    • Help ensure a positive and prompt response to all requests from occupants. Conducting regular follow-ups to assure a consistent approach to the occupant’s needs is a must
    • Assist in the selection of contractors
    • Monitor vendor performance to assure full compliance with our specifications and standards
    • Assist in the timely preparation of the operating budget and the implementation of the day-to-day management of the Facility within the parameters of the budget
    • Assist in maintaining ongoing, meaningful communications with the Accounting Department and the appropriate Accounting Manager
    • Assist in ensuring the day-to-day financial management of the Facility with specific attention to accounts receivable, collection activities, and approval of accounts payable on a current basis
    • Assist with variance reporting
    • Assist the Facility Director and Security Director with recruitment and training of the Emergency Response Team (ERT).
    • Ability to work overtime and nights as required.
    • Be available 24/7 in the event of emergency maintenance calls which may require returning to the property.
    • Reliable transportation.
    • Be able to lift 50lbs. and 100 lbs. with assistance.
