The Buyer/Purchasing Administrator position will require a “hands on” mentality working with and meeting the needs of the Americas employees within the purchase to pay, travel and inventory management areas. The position will be a utility player within Purchase to Pay & and Travel, owning certain aspects and serving as primary backup for other key positions within the group.

Duties & Responsibilities

  • Must work effectively in a team based fast pace environment.
  • Assist in all aspects of the purchase to pay function including sourcing (online and direct), PO creation, monitoring, etc.
  • Liaison with Accounts Payable to monitor open POs and ensure receiving is completed timely and issues are resolved that may hinder on-time payment.
  • Execute the North American “Awards and Gifting” Programs
    • Gift Cards, High End Gifts and Gamification Prizes.
      • Purchase, manage inventory, issue and track items used for internal and external awards and gifting
      • Report distribution to accounting and payroll where applicable
      • Work with Marketing and other groups to further develop and implement programs, focusing on efficiency and effectiveness.
      • Work with the Travel and Expense Reimbursement Administrator to address Awards and Gifting items purchased outside the normal process and submitted for expense reimbursement.
  • Monitor and manage employee laptop purchases, working with IT and GL to ensure paperwork is completed and payment is recorded.
  • Coordinate with Facilities and other groups, the purchase and payment of office related catering and misc. meeting expenses
  • Coordinate rooming lists, catering menus, etc. related to on and off-site meetings as required.
  • Process all expense reports for Canada based employees, ensuring completeness and compliance to policy by reviewing details and comparing them to the Travel and Expense Reimbursement policy.
  • Serve as primary backup/load leveling for Travel and Expense Administrator.
  • Execute ad-hoc assignments/projects as necessary.

Qualifications/Requirements

  • BS degree in business or accounting, or 3-5 years business and/or inventory related experience
  • Expense Reimbursement Experience a plus
  • “Navision” experience a plus.
  • Intermediate proficiency with Microsoft Office products.
  • Excellent interpersonal and written communication skills.
  • Ability to handle conflict.
  • Ability to work independently with excellent planning and organization skills.
  • “Team” player who can interact well with all employees.
  • Proven ability to complete tasks with constrained deadlines.
